1. Information We Collect
We collect the following categories of information:
- Account information — your name, email address, password, business or organization name, and role when you register or are added to an organization.
- Estimate and project information — details you enter to generate an estimate, such as room measurements, product and material selections, project location, and ZIP code.
- Lead and contact information — name, email, and any details submitted when you request an estimate or are captured as a lead by an organization using the Service.
- Payment information — for paid subscriptions, billing details are collected and processed by our payment processor, Stripe. We do not store full payment card numbers on our servers.
- Chat and voice content — the text and voice input you provide when using our AI chat estimator, and the resulting transcripts and responses.
- Technical and usage data — log data, device and browser information, and information stored through cookies and similar technologies necessary to operate the Service.
2. How We Use Information
- To provide, operate, and improve the Service, including generating estimates and material lists.
- To create and manage your account and organization, and to authenticate you.
- To process subscriptions, billing, and related transactions.
- To respond to inquiries and provide customer support.
- To send service-related communications, and, where permitted, product updates.
- To maintain the security and integrity of the Service and to comply with legal obligations.
3. Artificial Intelligence Processing
The AI chat estimator relies on third-party artificial-intelligence providers to generate responses. When you interact with the chat feature, the text and voice content you submit is transmitted to these providers for processing:
- Anthropic — processes chat text to generate conversational estimate responses.
- OpenAI — processes text for speech synthesis (text-to-speech) and processes voice input for transcription.
These providers process your input to return a result to us and are subject to their own terms and privacy practices. Please avoid entering sensitive personal information into the chat that is not necessary for your estimate.
4. How We Share Information
We do not sell your personal information. We share information only as needed to operate the Service:
- Service providers (subprocessors) — Stripe (payment processing), Anthropic and OpenAI (AI processing as described above), our hosting and infrastructure providers (DigitalOcean and Laravel Forge), and our email provider (Google / Gmail) for transactional email. We also load web fonts from Bunny Fonts (bunny.net), which receives your IP address when a page loads in order to deliver the font files; Bunny Fonts does not set cookies or use the data for tracking.
- Organizations — if you submit an estimate or lead through an organization's branded page, your information is shared with that organization so it can respond to your request.
- Legal and safety — where required by law, legal process, or to protect the rights, property, or safety of Estimates Now LLC, our users, or others.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
5. Cookies and Sessions
We use cookies and similar technologies to keep you signed in, remember your session and in-progress estimates, and operate the Service securely. You can control cookies through your browser settings, but disabling them may affect functionality.
6. Data Retention
We retain personal information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account information as described below.
7. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect information, including encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your Rights and Choices
Depending on your location, you may have the right to access, correct, or delete your personal information, and to opt out of certain uses. Residents of California and other applicable jurisdictions may have additional rights under laws such as the California Consumer Privacy Act (CCPA/CPRA), including the right to know what personal information we collect and the right to request deletion. We do not sell personal information.

9. Children's Privacy
The Service is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
